Job Title-Team Administrator & Executive Assistant-IT Audit-France

Location: Pune, India

Reporting To: Partners – IT Audit Practice (France and India)

Role Overview

We are seeking a highly organized, proactive, and detail-oriented professional to provide dual support as an Executive Assistant (EA) to Partners and Team Administrator for the IT Audit practice.

This role requires strong coordination, stakeholder management, and operational control capabilities to ensure seamless functioning of Partner schedules, staff administration, and compliance processes.

Key Responsibilities

  1. Executive Assistant Support (Partners)
  • Travel Management
    • Coordinate with travel agencies to plan and book domestic and international travel
    • Manage itineraries, accommodations, and last-minute changes
  • Expense Management
    • Prepare, review, and manage expense reports and reimbursement claims
    • Ensure compliance with firm policies and timely submission
  • Time Sheet Management
    • Track and ensure timely submission of Partner timesheets
    • Follow up for completion and accuracy of time bookings
  • Calendar & Scheduling
    • Manage Partner calendars, meetings, and appointments
    • Coordinate internal/external meetings and resolve scheduling conflicts
  • Administrative Support
    • Assist with invoicing coordination and follow-ups
    • Provide general administrative and operational support as required
  1. Team Administration (Audit Practice)
  2. Learning & Development Administration
  • Plan and coordinate training sessions (classroom/virtual)
  • Track attendance and training completion status
  • Monitor completion of mandatory learning programs
  • Maintain training records and generate compliance reports
  • Escalate non-compliance and follow up with staff
  1. Staff Utilisation Management
  • Track time sheet submissions across the team
  • Monitor staff allocation across engagements
  • Identify and report:
    • Idle resources
    • Under-utilization
    • Delays or inconsistencies in time booking
  • Coordinate with reporting managers to optimize utilisation
  1. Compliance & Governance Support
  • Track and ensure completion of:
    • Independence confirmations
    • Annual compliance declarations
    • Internal process timelines (e.g., performance forms)
  • Follow up with staff for pending actions
  • Maintain documentation and audit trails
  1. Staff Engagement & Initiatives
  • Plan and coordinate team engagement activities:
    • Team outings, events, and welfare initiatives
  • Manage logistics, vendor coordination, and budgets
  • Promote team engagement and participation

Qualifications & Experience

  • Bachelor’s degree in business administration or related field
  • 3–6 years of experience in Executive Assistant / Administrative roles, preferably in professional services / audit firms
  • Prior experience managing senior stakeholders / leadership support is preferred
