Introduction and Background
The HR Services Centre (HRSS) provides centralised support for HR systems and processes across the employee lifecycle. As part of this team, the Workday System Administrator will be responsible for configuring, maintaining, and optimising Workday modules for Advanced Compensation, Benefits, and Payroll to ensure seamless functionality, compliance, and integration with other enterprise systems.
Job Role
Your role will center on partnering with subject matter experts in the People & Culture (P&C) team to translate business needs into technical design and configuration requirements. You will also manage system administration and back‑end configuration for Workday’s Advanced Compensation, Benefits, and Payroll modules. Key responsibilities include:
- Advanced Compensation Configuration: Set up and maintain merit plans, bonus plans, and allowances within Workday. Ensure accurate configuration of eligibility rules and compensation grids.
- Benefits Administration: Configure and manage benefit plans, enrolment events, and eligibility criteria. Support compliance with regulations and the firm’s policies as well as those of our providers.
- Payroll Configuration: Configure and maintain pay groups, pay periods, and payroll calendars in Workday. Set up earning and deduction codes, including statutory and custom elements. Configure gross-to-net calculation rules and ensure compliance with local tax regulations. Maintain eligibility rules for payroll components and allowances.
- System Maintenance: Implement new features during Workday releases; manage tenant setup and regression testing for all three modules.
- Integration & Data Management: Support integrations between Workday and external systems (e.g., payroll, benefits providers). Perform data audits and validations to ensure accuracy and compliance.
- Reporting & Analytics: Build and maintain custom reports and dashboards for Advanced Compensation, Benefits, and Payroll analytics. Ensure data accuracy and integrity across reports and integrations. Collaborate with the HR Business Partner lead for People Analytics and Insights to generate joined-up insights to inform strategic decision making.
- Testing & Compliance: Develop and execute test plans for configuration changes and enhancements. Ensure compliance with statutory regulations and internal policies.
- Issue Resolution & Support: Provide technical support, troubleshoot system issues and resolve configuration-related problems. Act as a subject matter expert for the Advanced Compensation, Benefits, and Payroll modules and as a liaison between the end users and Application Managed Services where necessary.
- Documentation & Training: Feed into a robust governance process and maintain detailed documentation of configurations, workflows, and processes. Deliver training and knowledge transfer sessions to stakeholders on system functionality.

Person Specification
Experience:
- 3–8 years of experience in Workday system administration with a focus on the Advanced Compensation, Benefits, and Payroll modules.
- Hands-on experience with Workday Advanced Compensation, Benefits, and Payroll configuration and business process design.
- Familiarity with integrations and data migration in Workday.
Skills & Qualifications:
- Bachelor’s degree in HR, IT, or related field.
- Workday Advanced Compensation, Benefits, or Payroll Certification (preferred).
- Strong knowledge of Workday tools: EIB, Calculated Fields, Workday Studio (nice to have).
- Excellent analytical and problem-solving skills.
- Ability to operate with integrity and manage confidential data and ensure compliance.
- Strong communication and stakeholder management skills.
