Job purpose

The Administrative Support Team Leader is responsible for the delivery of professional, high quality administrative support whilst overseeing and supporting with key projects for the business. The role includes managing 9 Administrative Support Assistants.
The Administrative Support Team Leader will collaborate with the Business Support Team Manager to continuously explore opportunities to leverage technology for process improvement and efficiency enhancement.

This is predominantly an office-based role.

Job role

• Managing and providing exceptional services, focused on high quality administrative support, to include:
o Arranging complex internal and external meetings and understanding technical requirements (MS Teams) for virtual meetings.
o Supporting with complex travel requests and overseeing the travel management system.
o Attend meetings as required, ensuring accurate documentation of minutes and other key meeting materials, including agendas.
o Supporting with billing requests.
o Maintenance of our SugarCRM database to include bulk data cleanses, adding contacts, creation of intermediaries, updating information such as addresses etc.
o Providing support to our Audit teams in respect to Bank Letters and overseeing the management of bank letter support, including capturing feedback and suggesting necessary updates/changes to enhance efficiencies.
o Facilitating ad-hoc support requests from the business to include project requests.

• Managing the Business Administrative team, ensuring that they work together to provide high-quality work.

• Reviewing, prioritising and redistributing work where appropriate.
• Developing and executing business processes to improve the efficiency of the Business Administrative team.
• Managing team resources, including performance management, recruitment and onboarding and budgets where applicable.

Person specification

• Experience in a similar role within a professional service organisation preferred.
• People supervision/management experience.
• Experience taking minutes.
• Strong attention to detail, organisational and multi-tasking skills.
• Strong written skills, including the ability to produce succinct minutes.
• Exceptional communication, presentation and interpersonal skills.
• A strong team player who works collaboratively and is a skilled relationship manager.
• Passion for providing excellent client service.
• Flexible with the ability to work effectively under pressure and manage conflicting priorities.
• Advanced MS Office skills (specifically Word, Excel, and PowerPoint).
• Experience using Power BI and AI tools (desirable).
